This position is responsible for providing administrative support to a team of paralegals in a work environment that demands very high standards of performance. Hours: Full-Time (9:00 am – 5:00 pm)/Hybrid w/Four Days in office
Location: Hybrid – work in NFC’s Chatham Office a minimum of four (4) days in-office days per week. Must be flexible and willing to work in person for additional days as needed for coverage and/or other business needs.

Reports to: Director of Litigation Support Services
Essential Functions:
- Obtain and circulate docket sheets from the appropriate Court’s website (i.e. pre-litigation)
- Obtain and circulate legal/case-related articles and opinions
- Complete the transmittal of enclosure letters (i.e. creation of UPS labels, and priority mail labels)
- Assist with scanning and saving documents into the firm’s document management system
- Various Communications via telephone with the Court (i.e. to confirm oral argument)
- Manage and revise charts used for internal purposes (i.e. templates, list of mediators/judges, Master List, etc.)
- Update case contact lists
- Obtain and prepare exhibit tabs for necessary Court filings
- Assist in the creation of deposition binders
- Print out and distribute various documents
- Maintain filing hard copy legal documents, File Transfers, and Third-Party records.
- Various administrative tasks assigned by paralegals such as redaction requests, research requests, docket reports, following up on medical records requests, ShareFile links, creating case management folders, and initial case management documents.
- Provide backup support for firm-wide phone coverage, including assisting with reception duties as needed and distributing mail to the C.S. Team.
- Keep track of C.S. Team Meeting Agendas, Set up conference room ahead of team meetings
- Assist in spearheading the Paralegal Retreat including connecting with the Park Avenue Club, budgeting, purchases, agenda, correspondence to team, surveys, and other duties.
- Manage attorney admissions
- Assist attorneys new to the firm with updating court information, which includes adding the paralegal email, NFC Assigned email, firm, and billing information, and collecting their signature while maintaining attorney admissions and login information.
- Manage assigned Partner(s) calendar and respond to any requests for availability of assigned Partner(s)
Skills Required:
- At least 1 year of experience as a legal assistant or 2+ years of administrative experience
- Basic understanding of law firm procedures, litigation processes, and related requirements
- Excellent grammar and proofreading skills
- Strong attention to detail
- Ability to multi-task, prioritize, plan, and work in a fast-paced environment taking direction from multiple attorneys with high expectations of performance
- Highly organized
- Excellent communication skills
- Intermediate to advanced skills in MS Word, Outlook, Excel, and PowerPoint
Salary Range: $57 – $60k
The Firm is providing this good faith salary range to comply with applicable law. The applicant’s final salary will depend on a number of factors including the applicant’s skills and experience.
