This role provides essential support for the Counseling Team, ensuring smooth daily operations within the firm. This role includes legal administrative assistance for the NFC Counseling Team, coordinating training programs, maintaining calendars and schedules, and managing related materials and documents. We are looking for not only an experienced administrative professional, but someone with very strong PowerPoint experience to assist NFC attorneys with training decks. Hours: Full-Time Monday – Friday (9:00 am – 5:00 pm EST)
Location: Hybrid – The role resides in the Chatham, NJ office and is a full-time job. The person in this role is expected to work on the current hybrid schedule, working in the office two days a week (Wednesday required plus either Tuesday or Thursday). During onboarding and training there will be a three (3) day in-office per week requirement. This hybrid schedule is subject to change based on the needs of the Firm.

Reports to: Practice Group Manager – Counseling Department
Essential Functions:
Provide administrative support including but not limited to:
- Create, edit and revise documents including employee handbooks, letters, agreements, charts, chronologies, and indexes
- Manage Counseling Team templates; revise and update as requested
- Organize and save client files to NFC document management system
- Convert and format documents (PDF, Excel and Word)
- Calendar all meetings for Counseling Team attorneys (internal and external)
- Assist Counseling Team with creating meeting agendas and summarizing notes from meetings
- Manage legal mail; scan, save, and distribute to appropriate team members
- Flexible to jump in as requested on any firm administrative duties as needed (eg: preparing exhibits, managing charts, photocopying, scanning, meeting preparation, etc.) and serve as back-up to other firm administrative professionals
Provide coordination and support to the NFC training team:
- Produce and design customized employment law-related training presentations on Microsoft PowerPoint depending on individual client needs with oversight from NFC attorney trainers
- Multitask on preparing PowerPoint decks for various client trainings
- Coordinate and calendar all training sessions, either in person or virtual on meeting platforms such as Zoom, WebEx, and Microsoft Teams
- Provide virtual training assistance and support to clients
- Proactively communicate with clients on all aspects of trainings
Skills Required:
- Minimum of 3 years of administrative experience, with prior experience in a law firm required.
- Bachelor’s degree required
- Ability to multi-task, concentrate, plan and work in a fast-paced environment taking direction from multiple attorneys with high expectations of performance
- Experience formatting and editing legal documents
- Superior technical skills in Microsoft Word, Outlook, Excel, PowerPoint, Zoom, Microsoft Teams (plus: knowledge of and ability to learn other virtual platforms needed)
- Ability to design and edit PowerPoint decks
- Excellent grammar and proofreading skills
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to work collaboratively on team
Salary Range: $58k – $63k
The Firm is providing this good faith salary range to comply with applicable law. The applicant’s final salary will depend on a number of factors including the applicant’s skills and experience.
